1. Who we are

​Robbeburg is a non-profit association based in the Netherlands. The Association provides a safe and welcoming space for children and their parents or carers to participate in playgroups, classes, events, and other community activities. Robbeburg is responsible for the processing of personal data as described in this Privacy Policy and acts in accordance with the General Data Protection Regulation (GDPR).

2. What personal data we collect

Robbeburg may collect and process the following categories of personal data:

  • Name, email address, and contact details

  • Address details (where relevant for membership administration)

  • Membership-related information

  • Age(s) of children (where relevant to participation in activities)

  • Payment and transaction information

  • Communications with the Association

  • Photos or videos in which individuals may be identifiable (where consent has been given)

  • Website-related data, including data provided through Wix user profiles

 

Robbeburg does not knowingly collect personal data directly from children without the involvement of a parent or legal guardian.

3. How we collect personal data

Personal data is collected in the following ways:

  • When registering as a member or participating in activities

  • When entering information on the Robbeburg website

  • When communicating with Robbeburg by email or other means

  • When participating in events or activities where photos or videos are taken with consent

4. Legal basis for processing

Robbeburg processes personal data only where there is a valid legal basis under the GDPR, including:

  • Performance of an agreement, such as membership or participation in activities

  • Consent, where explicitly given (for example for communications or use of photos and videos)

  • Legal obligations, including financial and administrative requirements

  • Legitimate interests of the Association, such as internal administration and communication, provided these interests do not override the rights and freedoms of individuals

5. Purpose of processing

Personal data is processed for the following purposes:

  • Operating Robbeburg as an organization

  • Managing memberships and participation in activities

  • Communicating with members, volunteers, and participants

  • Providing information about activities, events, and updates

  • Processing payments and maintaining financial records

  • Complying with legal and regulatory obligations

  • Promoting Robbeburg’s activities, where consent has been given

6. Children’s personal data

Robbeburg takes special care in handling personal data relating to children. Children’s data is processed only where necessary for the Association’s activities and always in connection with a parent or legal guardian. Robbeburg does not independently profile or market to children.

7. Photos and videos

 

During activities, classes, and events, photos or videos may be taken for promotional or informational purposes.

  • Photos or videos are only shared publicly with explicit consent

  • Consent may be given with conditions, such as blurring faces or limiting use

  • Consent may be withdrawn at any time by contacting info@robbeburg.nl

Where individuals are identifiable, photos and videos are treated as personal data under the GDPR. Details regarding confidentiality can be reviewed in our Confidentiality Policy.

8. Storage, security, and access

Robbeburg’s website and online services are hosted on the Wix.com platform. Wix stores data on secure servers protected by appropriate technical and organizational measures. Access to personal data is limited to members of the Management Board and volunteers who require access for the performance of their role. All such persons are subject to internal confidentiality obligations. (See our Confidentiality Policy.)

Payment transactions are handled through secure payment providers that comply with applicable security standards, including PCI-DSS where relevant.

9. Data retention

Robbeburg does not retain personal data longer than necessary for the purposes for which it was collected.

  • Membership data is retained for the duration of membership and for a reasonable period thereafter for administrative and legal purposes

  • Financial records are retained in accordance with statutory requirements

  • Photos and videos are retained only for as long as they remain relevant to the purpose for which consent was given

10. Sharing of personal data

Robbeburg does not sell or rent personal data. Personal data may be shared only where necessary, including:

  • With service providers such as Wix or payment processors

  • Where required by law or a competent authority

 

Any sharing is limited to what is necessary and appropriate safeguards are applied.

11. Your rights

Under the GDPR, individuals have the right to:

  • Access their personal data

  • Correct inaccurate or incomplete data

  • Request deletion of personal data

  • Restrict or object to processing

  • Request data portability where applicable

  • Withdraw consent at any time

  • Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens)

12. Relationship to Confidentiality Policy

This Privacy Policy explains how Robbeburg processes personal data in accordance with the GDPR.

A separate Confidentiality Policy applies to members of the Management Board and volunteers and governs how information is handled internally within the Association.

13. Changes to this Privacy Policy

 

Robbeburg reserves the right to amend this Privacy Policy. Changes will take effect upon publication on the website. Where changes are material, Robbeburg will make reasonable efforts to inform members and users.
