We are pleased to announce the following available Robbeburg Board Position opportunities for the 2026-2027 term, starting in May 2026.

Position Descriptions

Board Chair

Operations and Volunteer Management • Oversee day-to-day operational matters at Board level • Coordinate and support volunteer management, including: - High-level oversight of volunteer scheduling and roles - Coordinating school holiday schedules, substitutes for playgroups, and cancel services that do not have required volunteers. - Supporting onboarding and training processes. • Ensure smooth internal communication between volunteers and the Board. • Act as a point of escalation for operational challenges, community concerns, and conduct-related issues. • Support and maintain a positive, safe, and well-functioning volunteer culture. • Oversee volunteer recognition and appreciation initiatives. External Relations and Strategy • Provide strategic leadership and long-term direction for the organization. • Represent the organization in relations with: - local government - landlords - key partners and external stakeholders - (helpful to know Dutch → otherwise Dutch-speaking situations can be delegated) • Monitor external risks, opportunities, and developments affecting the organization. - Support alignment between the Board’s strategic goals and operational priorities. • Act as a primary external spokesperson for the Association, when appropriate. • Partnership and Outreach - Add Robbeburg services to all pertinent directories and maintain listings. - Identify and pursue business development, growth opportunities, and partnerships to spread the word about Robbeburg membership. - Collaborate with Marketing role(s) on opportunities to highlight partnerships in social media and marketing communications. - Collaborate with Event role(s) on opportunities to collaborate with partners. - Collaborate with Treasurer on fundraising opportunities.

Treasurer

• Accounts Payables and Receivables: send invoices, refund volunteers, refund parties, create tikkies, pay cleaners the rent and other services (e.g. rentokil, AON insurance, Gemeente yearly fee). • Have the finances up to date in order to advise the Robbeburg Board in financial matters. • Provide an updated overview of the finances once a year and this file needs to be audited by two members which are not part of the management board (kaascommissie).

Secretary

• Support organizational meetings: - Schedule and organize Board meetings - Prepare and circulate agendas and meeting materials - Take accurate minutes (notes) of all meetings (Board and AGM), including decisions and action items - Distribute minutes and follow up on agreed actions - Support smooth meeting flow (e.g. timekeeping and facilitation coordination) • Manage membership: - Keep membership log in Google docs up to date quarterly. - Survey member needs every six months and make recommendations for improvement to the Board. • Administration: - Answer all inquiries that come into the Robbeburg Gmail Inbox (with the exception of queries that are solely related to reimbursement), within 48 hours (with the exception of those received on Friday, which may be responded to on Monday). - Respond to inquiries that are emergent in nature as quickly as possible, including on weekends. - Maintain the inbox in an orderly manner, appropriately deleting and archiving messages on a regular basis. - Make adjustments on Wix that are directly related to scheduling as necessitated by email inquiries (collaborate with Website Manager if necessary). • Examples: moving/rescheduling bookings, cancelling bookings, etc. - Collaborate with the rest of the Board to reply to queries that may not be straightforward. - Keep the Robbeburg Google Drive organized.

Playroom Manager

• Maintain play spaces through weekly clean-up, including removing damaged toys, organizing and rotating toys, clean-up of rubbish and overall organization in the play spaces. • Continuously monitor playgroup for maintenance of safe toys, equipment and space. • Work within the annual budget to purchase play equipment and toys that support a safe play space. • Clean out the toy closet each quarter to donate and discard unneeded toys. • Email the landlord/Gemeente with any repair issues or questions. • Work with volunteers to do weekly inventory of supplies for the cleaner and playgroups. • Continuously updatethe Robbeburg Lijstje account with any playroom/space wishes. • Be the contact person for the cleaner as needed.

Social Media and Marketing Manager

• Create marketing and communication material for the space and for events, either yourself or by delegating these responsibilities. • Ensure we have content for Instagram and Facebook, either through preparing such content yourself or by delegating these responsibilities to others. • Ensure the Robbeburg Instagram and Facebook stories and feed are regularly (minimum 2x per week) updated with relevant content, either yourself or by delegating these responsibilities. • Respond to all inquiries that come into Instagram or Facebook inboxes within 24 hours (with the exception of weekends, during which queries of a non-urgent nature may be responded to on Monday). • Work with volunteers to get pictures for social media. • Create/Send weekly WhatsApp community announcement messages. • Work with Board members to send out email newsletters 1-2x monthly. • Manage the Robbeburg Linkedin account and post updates. • (Optional) Maintain website blog (can be done by Website Manager too). • Coordinate any marketing/communication updates with the Website Manager.

Website Manager

• Ensure all website content, services, pricing plans, and automations are always up-to-date, including booking processes, policies, etc. • Continually work to improve the user experience of the website and booking process. • Work with Event Manager(s) to add and archive event pages and create event tickets as needed. • Create and send coupons as needed. • Be the main contact for any website needs and issues. • (Optional) Maintain website blog (can be done by Social Media and Marketing Manager too). • Update Google business page with any closures, pictures and content. • Collaborate with Board Chair and Treasurer to implement new membership pricing plan.

Events Manager

• Create events calendar, and block out time on the Wix calendar for events. • Work with a budget (collaborate with Treasurer) to organize and run events, including purchasing supplies and ensuring there are decorations, crafts and/or activities at all events or delegating these responsibilities. • Manage event volunteers: - Create Whatsapp groups and recruit volunteers (Event Committees) to help organize and run events. - Coordinate volunteer schedules for set up, event sessions (if applicable), and clean-up. - Ensure all volunteers at events (especially the first ones scheduled to be onsite) know their duties, where supplies are located, how to set up music or projector, who the hired help (ie. photographer, face painter, etc.) will be, etc. • Work with Website and Marketing Managers to spread awareness of events to the community and larger Amsterdam. • Regularly volunteer at events or in setting up and cleaning up for events. Be a physical presence onsite during at least part of the events.
